Who we are
Specialist Surfaces Group Ltd is a company registered in England and Wales (company number 17403655), with its registered office at 24 Bullbrook Drive, Bracknell, RG12 2PU. We are the data controller for the personal information described in this policy.
If you have any questions about this policy or how we use your information, email us at hello@specialistsurfacesgroup.co.uk.
The information we collect
When you send us an enquiry or request a quote through this website, we collect the details you provide:
- your name, company, email address and phone number
- details of your project, such as its location, area, programme and requirements
- any files you upload, such as drawings, specifications or photographs
If you agree to analytics cookies, we also collect information about how you use the website, such as the pages you visit and how you arrived at the site. See our Cookie Policy for details.
We may also hold information you give us by phone or email, and information needed to deliver and manage any work we carry out for you.
How we use your information
- to respond to your enquiry and prepare a quotation
- to arrange site visits and surveys
- to deliver, manage and invoice the work we carry out
- to understand how our website is used, so we can improve it (only with your consent)
- to meet our legal, accounting and insurance obligations
We do not use your information for automated decision-making, and we do not sell it.
Our lawful basis
- Steps before entering a contract, and performing a contract: when you ask us for a quote or we carry out work for you.
- Legitimate interests: responding to general enquiries and running our business, where this does not override your rights.
- Consent: for analytics cookies. You can withdraw consent at any time.
- Legal obligation: where we must keep records, for example for tax purposes.
How we store your information
Enquiries sent through the website are delivered to us by email and also stored securely in the website’s database, so that no enquiry is lost if an email fails to arrive. Files you upload are stored with your enquiry.
We keep enquiry information for up to two years if it does not lead to work, so that we can respond to follow-up questions. Where we carry out work for you, we keep project and financial records for six years after the end of the financial year in which the work was completed, as required for tax and legal purposes. After that, the information is securely deleted.
Who we share it with
We only share your information where necessary, with:
- our website hosting provider, which stores the website and its database
- our email delivery provider, which sends enquiry emails on our behalf
- Google, which provides Google Analytics and Google Tag Manager (only if you consent to analytics cookies)
- our professional advisers, such as accountants and insurers, where needed
Some of these providers, including Google, may process information outside the UK. Where they do, they are required to protect it with appropriate safeguards recognised under UK law.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information, where we have no legal reason to keep it
- ask us to restrict or stop using your information
- object to us using your information on the basis of legitimate interests
